Key Responsibilities
Stock Control & Inventory Management
• Maintain accurate stock records through regular cycle counts and stock takes
• Perform stock reconciliations and investigate variances
• Monitor stock levels, movements, and adjustments to ensure optimal availability
• Implement and maintain stock control procedures (FIFO / FEFO where applicable)
• Generate and present stock reports, including variances and trends
• Conduct spot checks and audits to ensure compliance with stock handling procedures
Operations Coordination
• Oversee daily operational processes including receiving, storage, picking, packing, and dispatch
• Coordinate with internal departments (operations, finance, sales) to resolve stock discrepancies
• Ensure efficient workflow between warehouse, logistics, and administrative functions
• Assist in improving operational systems and processes for better efficiency
Procurement & Supplier Liaison
• Manage procurement of stock and operational supplies
• Liaise with suppliers regarding orders, deliveries, discrepancies, and returns
• Monitor supplier performance and resolve any delivery or pricing issues
Logistics & Distribution
• Coordinate deliveries, collections, and transport scheduling
• Track shipments and ensure timely and cost-effective distribution
• Maintain records of transport costs and logistics performance
Administration &  Reporting
• Maintain accurate documentation of stock and operational activities
• Prepare regular reports for management on stock, operations, and performance metrics
• Utilise Excel and relevant systems for data analysis and reporting
Team & Compliance
• Supervise and support operational or warehouse staff where required
• Ensure compliance with company policies, safety standards, and procedures
• Maintain a clean, organised, and safe working environment

Minimum Requirements

• Minimum 5 years’ experience using Pilot POS system (Essential)
• Proven experience in stock control and inventory management
• Experience in operations, logistics, or warehouse coordination
• Strong knowledge of stock control processes and variance investigation
• Proficient in Microsoft Excel (reporting, tracking, basic analysis)
• Strong administrative and organisational skills
